PRIMARY FUNCTION:

 

To provide patient and physician satisfaction through proactive administrative services and ensure a smooth coordination of the patients for genetic visits.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

 

  • Schedule patients for appointments with Genetics (prenatal, cancer, cardiovascular, NICU, Adult, Neuro
  • Verify patients are scheduled with appropriate Genetic Counselor
  • Advise patients of needs of Genetic appointment i.e.  if any family member has had genetic testing we will need a copy of that report
  • Verify insurance coverage and obtain pre-certifications for office visits
  • Verify and notify patients of referrals
  • HIS Registration of patients, verify insurance, print labels/face sheets and word documents
  • Prepare all patient charts for Genetic appointments
  • Maintain personal calendars/schedules for physicians and genetic counselors
  • Verify demographics, insurance, patient ID
  • Give patients all necessary paperwork to complete, questionnaire links, electronic PDF or mail questionnaire to patients
  • Schedule lab draw for patients for 1 hour after their initial appointment at the appropriate location
  • Review/analyze chart signing department update report, reconcile report for HIMS
  • Batch billing and data entry of Genetic charges into Powerchart
  • Input demographic information, referral and appointment information into progeny
  • Answer and triage all incoming calls
  • Direct incoming patients/families and all visitors to appropriate areas
  • Maintain and update transportation companies phone numbers
  • Contact specific transportation company for patients (transportation home)
  • Call or web page staff as needed for patients
  • Maintain schedule for Genetics in Revenue cycle/ eclinical
  • Fax and verify appropriate schedules for Tunnell Cancer Center and Nanticoke Cancer Center
  • Contact Union Hospital and Bayhealth to obtain Genetic Counselor list of patients for the upcoming clinic schedule and enter this into revenue cycle and prepare chart and give counselor patient schedule.
  • Keep track of appointment times and arrival of patients
  • Process all specimens for transport to lab
  • Maintain safe and clean patient care areas, consultation and exam rooms
  • Scan/print out insurance cards and save in appropriate folders
  • Verify daily Televox scheduled appointments – results given to appropriate areas
  • Maintain and update department manual for those covering desk
  • Ordering and maintain medical supplies/forms for Genetics and re-order as needed
  • Fed EX/UPS – arrange with appropriate delivery service package pickup   Signature required for all deliveries
  • Maintain/update all phone extension information for front desk and notify staff of any changes
  • Maintain inventory of brochures and replenish when needed for patients
  • Distribute department mail to appropriate individuals
  • Performs assigned work safely, adhering to established departmental safety rules and practices
  • Performs other duties as required
