Summary Job Description:

This position acts as the liaison between the customer and the organization. The Customer Service Representative is responsible for providing excellent customer service throughout the entire sales order process, providing accurate information in a timely manner through teamwork and communication.

Essential Functions:

  • Receives orders (via telephone, mail, fax or e-mail) and enters orders in the computerized order system
  • Maximizes sales revenues (suggesting logical order sizes) and minimizing costs (finding the product in inventory, consolidating shipments)
  • Ensures that product reaches customers on the promised date
  • Monitors and expedites all transactions to completion (i.e. customer receives ordered products)
  • Informs customer and sales representative of any delays or other problems associated with timely delivery
  • Generates order documents through the computer system to fill customer requirements
  • Generates appropriate documentation for export orders as required through ancillary computerized systems
  • Optimizes all order situations by determining sourcing (existing inventory, new manufacture, import delivery)
  • Coordinates with business managers, warehouses, production planning, quality control and technical service
  • Handles customer complaints including recording and getting the appropriate departments involved
  • Coordinates all returns of product from customers
  • Assures customer database is maintained and customer mailing can be sent in a timely manner
  • Initiates all credits and debits for customers
  • Tracks imports/exports logistical information
  • Interacts with all departments and levels of management
  • Provides back up support as defined and needed within the different functions performed by the customer service group

Job Requirements:

  • Excellent interpersonal skills
  • College level degree and/or at least 3 years in a customer service assignment in a manufacturing environment
  • Excellent problem-solving skills and organization skills, proficiency in Microsoft Office
  • Inventory control knowledge and some basic import and export experience
  • Supply chain experience with ERP systems preferred
  • High level of accuracy and detail orientation required

Intimate knowledge of customer requirements and of products is required; ability to quickly learn products required.
